A tender specification has two jobs: tell bidders what is required and give the project team a fair basis for comparison. If it is too vague, quotations hide different assumptions. If it copies one product sheet without context, it may omit the interfaces that matter on site.
Define the scope and application
State whether the item is a countertop basin, integrated vanity, custom top, or another defined assembly. Identify room types, quantities, and related trades.
Clarify whether taps, wastes, brackets, sealants, cabinets, templates, and installation are included, excluded, or supplied by others.
Use coordinated dimensions
List critical outside dimensions, bowl position, drain and tap locations, overflow requirement, mounting details, and interfaces with walls or cabinets. Reference a drawing revision.
Add tolerances only when the project team understands their purpose and the manufacturer can review them. An unrealistic blanket tolerance creates disputes rather than control.
Describe material and finish accurately
Use project-approved material wording and define color and finish references. Do not substitute a brand name for a complete performance and appearance description unless the contract requires it.
For QINGDA catalog basins, Solid Surface is the standard material. Corian is reviewed only as a requested option for selected custom projects.
Set an approval sequence
Require drawings, finish samples, and a product sample or mock-up where risk justifies it. State who approves each item and what must be resolved before production.
Keep the approved sample available for later comparison. Approval should not erase the written specification; both records should agree.
Include quality and packing records
Identify required inspection documents, dimensional records, photographs, labels, carton marks, protective packing, and shipment documentation.
For phased projects, connect packing and labels to the room or floor schedule. This information belongs in procurement, not only in the logistics email.
Control substitutions and changes
Require proposed substitutions to show differences in dimensions, appearance, interfaces, lead time, and scope. Silence is not equivalence.
Issue accepted changes through the same document control used for drawings and purchase orders. QINGDA technical support can review product-specific details before quotation.
Send the tender schedule, drawings, room types, scope split, material and finish requirements, approval process, quantity, and programme for a specification review.
