Agree on mold and sample expectations
If a new mold is needed, confirm cost, timing, ownership discussion if relevant, sample schedule, and revision process. Ask which details can be changed after the first sample and which changes would require deeper mold work.
The sample should have a defined purpose. Is it for size confirmation, finish approval, customer presentation, installation testing, or all of these? The answer affects how carefully the buyer must document the result.
Approve samples with a written record
A sample approval record should include photos, measurements, finish notes, material statement, date, drawing version, and any accepted differences. If a detail is not approved, write what must change before the next sample or production run.

Keep material wording accurate

Do not allow the material line to drift between emails, drawings, sample labels, and sales sheets. Consistent wording protects both the buyer and the supplier when the product moves into a catalog or project file.
Hand over from sample to production
Before production starts, confirm drawing version, sample approval, quantity, finish, material statement, packing method, carton label, inspection plan, lead time, and shipping term. This handover should be treated as a checklist, not a quick message.

Control changes after the first sample
After the first sample is reviewed, separate comments into three groups: must change, nice to change, and approved. This helps the supplier understand what blocks production and what can wait for a later version.

Prepare the commercial file before production
Technical approval is not enough for production. The commercial file should include MOQ, unit price, sample cost, mold cost if relevant, packing cost, payment terms, delivery term, lead time, and shipment plan.
When the technical file and commercial file match, the order is easier for both sides to execute. If they do not match, production may start with the wrong drawing, wrong packing, or unclear material wording.
